What programs are compatible with our mail system?

The only supported E-mail client for use with our mail system is Qualcomm’s Eudora. Other mail programs may work (they need to support the APOP and SMTP AUTH CRAM-MD5 encryption), but no technical support will be provided for them. Users are very strongly encouraged to NOT use any Microsoft mail client (Outlook/Outlook Express/Entourage).

If you do not already use Eudora, you can obtain the latest version for free at http://www.eudora.com. The most recent versions are:

Windows - 7.0.1
Mac OSX - 6.2.3
Mac OS9 and older - 6.1

All users should upgrade to the latest versions, as there are security bugs in older versions that could lead to compromised computers.

Our mail server does not support checking mail via a telnet/ssh connection.

You may also check your E-mail via the Web interface at http://www.Mail2Web.com. Be sure to select the "Advanced" and "Secure" options, and click on the POP3 button, BEFORE you attempt to login. Please note that this is a 3rd party web mail interface that is not operated by the department, and as such, should not be your primary means for checking your mail.


Reading mail from outside of the University

To use your mail account from outside the University, you need to have Eudora 4.2.2 or greater installed on your computer. By activating the “allow authorization” function of Eudora, you can both READ and SEND mail. Some Internet service providers, however, block SENDING access to mail servers other than their own (they generally allow you to READ mail from any server though). To circumvent this problem, checkmark the “Use submission port (587)” option in the “Sending Mail” part of Eudora’s setup. If you don’t see that option listed, do the following:

For Mac OS9, first quit out of Eudora. Then, go into the folder that contains Eudora itself (it's called "Eudora Application Folder" for newer versions of Eudora, and "Eudora" or "Eudora Pro" for older versions). You'll likely find this folder either on the root of your hard drive, or in the "Applications (Mac OS 9)" folder. Inside this folder, you'll find two more folders: "Eudora Stuff" and "Extra Plugins". Go into the "Extra Plugins" folder, and move the file called "Esoteric Settings" into the "Eudora Stuff" folder. Then, restart Eudora. If you click on Special, then Settings, you'll find a large number of new settings icons. Scroll down to the one called "Ports & Protocols". Change the SMTP setting from "25" to "587". Then, scroll up to the "Sending Mail" setting, and change the SMTP server setting to our mail server (either "bcs.rochester.edu" or "cvs.rochester.edu"). With this done, you should now be able to send mail via our mail server.

For Mac OSX, first quit out of Eudora. Then, open the Eudora Application Folder (inside the "Applications" folder on your hard drive), hold down control key and click on the Eudora application. Click on "Show Package Contents". Then, go into the /Contents/MacOS folder. Inside this folder, you'll find two more folders: "Eudora Stuff" and "Extra Plugins". Go into the "Extra Plugins" folder, and move the file called "Esoteric Settings" into the "Eudora Stuff" folder. Then, restart Eudora. If you click on Special, then Settings, you'll find a large number of new settings icons. Scroll down to the one called "Ports & Protocols". Change the SMTP setting from "25" to "587". Then, scroll up to the "Sending Mail" setting, and change the SMTP server setting to our mail server (either "bcs.rochester.edu" or "cvs.rochester.edu"). With this done, you should now be able to send mail via our mail server.

For Windows, exit Eudora and go into the C:\Program Files\Qualcomm\Eudora directory. Open the sub directory "extrastuff". Move the file "Esoteric.epi" out of this directory and move it out into the Eudora directory. Start up Eudora, then click on Tools, then Options. Scroll down to the "Ports" icon, and enter "587" into the SMTP Port box. Then, scroll up to the "Sending Mail" setting, and change the SMTP server setting to our mail server (either "bcs.rochester.edu" or "cvs.rochester.edu"). With this done, you should now be able to send mail via our mail server.

Installing/Updating Eudora

Download and run the appropriate Eudora installer for your computer system. Users installing Eudora on their computers for the first time need to follow the detailed instructions below for configuring the program. You can run Eudora in Light mode (free, but with limited feature set), Sponsored mode (free, full-feature set, but it puts a box with ads on the screen), or Paid mode (costs money, full-feature set, no ads). All three modes are fully compatible with our server, so it's up to you which one you run.


Configuring a new copy of Eudora for the new mail system


The following are the explicit instructions for configuring a brand new copy of Eudora for the Macintosh. Windows configuration is very similar. For any icons in the Windows version that don't appear in these instructions, you can ignore them. Only the first 4 sections (Getting Started, Checking mail, Sending mail, and Composing Mail) need to be configured for Eudora to work, so that's all that I've listed. The rest are just personal preference stuff that you can leave as-is if you want or change to suit your tastes.

For the sake of clarity, these instructions are for BCS users. CVS is identical, so just substitute 'cvs' wherever you see 'bcs', and everything will work fine.

When you run Eudora for the first time, a window will pop up, asking you to enter some information. You can cancel past that. Click on Special, then Settings (Mac users) or Tools, then Options (Windows users). You'll see a scrollable line of icons on the left, and the settings for each icon on the right.

Some settings are found under multiple icons. Once you set them under one icon, they'll automatically be set under other icons. There are also many places where you can customize your setup, so feel free to do so.

Once configuration is complete, you should be able to check your mail. The first time you check your mail, you will be asked for your password. Enter the temporary password for your account. If you would like to change your password, call me...you cannot change it from within Eudora itself (for security reasons).
